Compose & send emails

This guide explains how to compose, send, and manage outgoing emails in MailDesk.

Understanding how sending works helps avoid confusion with Sent, Drafts, and sync timing.


Composing a new email

To write a new email:

  1. Click Compose

  2. Enter one or more recipients

  3. Add a subject

  4. Write your message

  5. Attach files if needed

  6. Click Send

MailDesk uses your configured outgoing server to send emails immediately.


Using To, CC, and BCC

To

  • Main recipient(s) of the message

CC (Carbon Copy)

  • People who should stay informed

  • Visible to all recipients

BCC (Blind Carbon Copy)

  • Hidden recipients

  • Useful for privacy or internal copies

⚠️ Use BCC carefully to avoid confusion.


Adding attachments

You can attach files by:

  • Dragging and dropping files

  • Using the attachment button

Best practices:

  • Keep attachments reasonably small

  • Use links for very large files

  • Verify attachments before sending


What happens when you click Send

When you send an email:

1️⃣ The email is sent immediately
2️⃣ It appears in Sent right away
3️⃣ Your provider saves its own copy
4️⃣ The next sync replaces the local entry

✔ This behavior prevents duplicate sent emails
✔ Short delays are normal



Drafts (saving work in progress)

If you:

  • Close the compose window

  • Lose connection

  • Decide to finish later

MailDesk may save the message as a Draft.
Drafts allow you to continue writing without losing content.



Reply vs New message

  • Reply / Reply all: continues an existing conversation

  • Compose: starts a brand-new conversation

Choose the option that matches your intent.


If sending fails

If an email does not send:

  • Check Drafts

  • Verify your outgoing server (SMTP / OAuth)

  • Contact your Odoo administrator for server logs

MailDesk does not silently drop emails.


Sync and sent mail behavior

Important things to remember:

  • Sent emails always appear immediately

  • The provider’s copy replaces the local one later

  • Conversations update automatically after sending

This is expected behavior.


Tips for efficient sending

  • Review recipients before sending

  • Use CC sparingly

  • Attach only what’s necessary

  • Prefer replying within conversations
