What's new in MailDesk (May 2026)

Welcome to the May 2026 MailDesk release. This update introduces the biggest set of customer-facing capabilities since the product launch: an embedded AI Assistant in Pro, much smarter mailbox search, linked emails that survive folder moves, a new email template picker in the composer, and a new Chatter Integration Workflow Bridge.

All updates roll out automatically to subscription customers. One-time licence holders receive the corresponding update on their purchased Odoo major version.


AI Assistant in Pro

MailDesk Pro now includes an embedded AI Assistant with your choice of provider — OpenAI, Anthropic Claude, Google Gemini, xAI Grok, or DeepSeek. You can also configure a self-hosted provider (such as a local Ollama server) for fully on-premise operation.

Three operations are available from any email:

  • Summarize an email thread — get a clean digest of a long conversation

  • Draft a reply — generate a contextual reply you can review and edit before sending

  • Security scan — get an automated phishing & malware assessment for suspicious messages

Linked emails stay associated when you move them

When you link an email to a CRM lead, Helpdesk ticket, Sale order, Calendar event, or Document and then later move the email to a different folder or label, the link stays in place. The connection between the email and the Odoo record is preserved across folder moves, label changes, and re-organization in your mailbox.

Faster, smarter search with composable filters

MailDesk search is significantly improved:

  • Relevance-ranked results — the most relevant matches now appear first

  • Sender display-name matching — searching for a contact's name finds emails even when the address has changed

  • Preview-text matching — search now reads message previews, not just subject lines

  • Composable filters — combine multiple filter criteria without losing context

✅ This update is rolling out across all Odoo versions.


Email template picker in the Pro composer

Pro users have a new template picker directly in the email composer. Choose a template, optionally bind it to a linked Odoo record (CRM lead, Helpdesk ticket, Sale order), and your BCC list and attachments are preserved automatically.

Templates can be managed from Settings > MailDesk > Email Templates.


Chatter Integration Workflow Bridge

A new Chatter Integration bridge is available. It lets your team have an internal discussion thread for each email — notes, @ mentions, and scheduled activities — while keeping the email itself untouched. Visible only to the team, never to the sender.

Activate it per mailbox in Settings > Mailbox Accounts after installing the Chatter Integration module.


License-protected features are now clearly indicated

If your licence becomes inactive (for example, expired subscription), MailDesk now shows a clear in-app notice instead of generic access errors. Administrators can verify licence status from Settings > MailDesk > Licence Activation.

✅ Polish & reliability

Many smaller improvements landed in this release:

  • Confirm dialog before deleting an email or moving it to Trash

  • Better recognition of provider folder names in Spanish, French, Italian, and Portuguese

  • More accurate visibility of synchronization status

  • Draft preservation when switching between mailbox accounts

  • Reliability improvements to the email composer
