Do you know this? You read an important customer email in Outlook but have to switch to Odoo for the quote details, project status, or contact history. This constant switching between applications not only wastes time but also leads to errors and loss of information.
What if your Outlook inbox lived directly inside Odoo? What if you could read and respond to emails while having all relevant customer data right in front of you?
That is exactly possible. In this guide, we will show you step by step how to create a seamless Odoo-Outlook integration with our Maildesk module and revolutionize your daily work.

The Challenge: Why the Separation of Email and ERP Is Inefficient
Before we get to the solution, let’s clearly identify the problem. A separated workflow leads to concrete disadvantages:
- Lost Context: You have to remember or manually copy information from Odoo to respond to an email in Outlook.
- Duplicate Work: Contact details, attachments, and notes often need to be maintained in two places.
- Lack of Transparency: Important customer communication remains "trapped" in individual employees' mailboxes and is not visible to the rest of the team.
- Slower Response Times: Searching for the right information wastes valuable time needed for customer support.
The Solution: Maildesk – Your Outlook, Directly in Odoo
Maildesk isn't just another sync tool; it's a powerful email client that works seamlessly within your Odoo setup. It securely connects to your Microsoft 365/Outlook account, bringing your inbox right next to your business data.
Step-by-Step: Integrating Outlook in Odoo
Setup is surprisingly easy and takes just a few minutes.
Step 1: Installation of the Maildesk Module
First, you need our module “MailDesk – Professional Email Client”. You can purchase it directly via the Odoo App Store or from MailDesk product page. Install it in your database like any other Odoo application.
Step 2: Securely connect your Outlook account
After installation, you'll find the new "Maildesk" menu in Odoo.
- Go to Maildesk → Configuration → Email Accounts.
- Click “New” to add a new account.
- Select “Microsoft (OAuth)” as the account type. This is the modern and secure method (XOAUTH2) recommended by Microsoft 365.
- Click on "Authenticate". You will be redirected to a Microsoft sign-in page where you can grant the application access to your mailbox. No passwords are stored in Odoo.
For older Exchange servers or specific setups, you can choose manual IMAP/SMTP configuration.
Step 3: The First Synchronization
Once your account is successfully connected, Maildesk will start syncing your inbox in the background. This may take a few minutes depending on the size of your mailbox. You can continue working in Odoo as usual. Soon, you'll see your folder structure and the first emails appear in the Maildesk view.
Step 4: Discover Your New Unified Workspace
Congratulations! Your Odoo Outlook Integration is complete. You can now see:
- Links: Your familiar folder structure from Outlook (Inbox, Sent, Drafts, etc.).
- Center: Your email list.
- Right (Context View): When you open an email from a known contact, Odoo automatically displays all linked information here: contact details, previous orders, open tasks, support tickets, and more.
The result: A workflow that simply works
You'll feel the benefits of this integration right away:
- 360° View: You have the complete context for every customer without ever having to leave Odoo.
- Efficiency Boost: Create quotes, tasks, or notes directly from an email with just one click.
- Central Knowledge: All communication is automatically assigned to the correct contact in Odoo and is accessible to all authorized team members.
- Faster Responses: You answer customer inquiries more accurately and quickly than ever before.

Stop switching, start working
Integrating your Outlook inbox with Odoo is no longer a complex IT project. With the right tool like Maildesk, it becomes a simple setup process that boosts your entire team's productivity.
