MailDesk runs today on Odoo 17, 18 and 19 — you pick your version, the licence stays valid for it permanently. When you later move to another Odoo major you buy the licence again — or you switch to the subscription, which covers every current and future version.

Subscription or one-time — your call.

The key difference: the subscription automatically includes the latest Odoo major version every year (today all three current versions Odoo 17, 18 and 19 — plus every new Odoo major during your term). The one-time purchase is perpetual, but tied to exactly one Odoo major of your choice (17, 18 or 19). For 95 % of our customers the subscription is the simpler choice: predictable cost, no re-licensing on version jumps. For power users and agencies with a long-term Odoo strategy, the one-time licence remains attractive.

Is MailDesk licensed per user or per Odoo instance?

Per Odoo instance. Every authorised user in your database can use MailDesk — no extra per-user licence fees. Plan limits apply to the number of concurrently active mailboxes, not to users.

What separates Ultimate from Basic?

Basic is a clean mail client for one mailbox with read sync. Ultimate adds: unlimited mailboxes with multi-domain, AI features, bidirectional sync, every bridge to CRM/Helpdesk/Calendar, Automation Engine, Operational Cockpit and Premium support 24/5.

How do I get demo access?

Via the form at mit-odoo.de/demo/request or by email to [email protected]. We set up a separate demo tenant within one business day. The demo runs for 14 days; an extension is available on request.

What exactly does bidirectional sync do?

Every change you make in Odoo is written back to your mail server: read, flag, move between folders, delete and spam-mark. The sync is asynchronous with automatic retries — even if the IMAP server is briefly unreachable, no action is lost. Included from the Pro plan upwards.

Do I need my own API keys for the AI features?

By default you use your own API keys from OpenAI, Anthropic, Google Gemini, xAI, DeepSeek or a local model. We add no surcharge on AI usage. As an alternative, you can run a local model (Ollama, LM Studio, vLLM) on your own server — AI then runs completely without external API calls.

Can I create a Helpdesk ticket from an email?

Yes — with the Helpdesk bridge (included in Business and Ultimate). A button right inside the email reader creates the ticket, links the email and syncs future replies in both directions.

Who sees which mailboxes — how does access control work?

Permissions sit at mailbox level. Only users with explicit access see the emails, folders and drafts of a given mailbox. Shared mailboxes (info@, sales@) are configured via Odoo's security groups.

How is multi-mailbox / multi-domain billed?

What counts is the number of concurrently active mailboxes, not the number of domains. You can configure any number of domains within an Odoo instance. The Ultimate plan allows unlimited mailboxes in a multi-domain setup.

How long does the contract run — and when can I cancel?

The minimum term is 12 months. After the initial term, the contract auto-renews for another year. From the second contract year you can cancel monthly at the end of the month. No exit fees, no lock-in — your data is yours and exports through the native Odoo tools.

Which Odoo versions are supported?

Odoo 17, 18 and 19 — Community and Enterprise both. The subscription includes all major upgrades automatically. With one-time licences, moving to the next major version is a new purchase.
