Four steps to going live

Telephony is a real-time system. That is why PhoneDesk is not downloaded but handed over in stages. Every stage has a result you can hold in your hand.

Step 1
First call, 20 to 30 minutes
We ask about your PBX, your Odoo version, the number of phone seats and what has triggered this. At the end both sides know whether it goes further. Result: an honest assessment, not a presentation.
Step 2
Feasibility check of the telephony environment
We look at Asterisk or FreePBX, the SIP trunk, the numbers, the network and your Odoo installation. Result: a written feasibility note, the gap list and a fixed-price quote.
Step 3
Paid pilot, four to six weeks
A real line, real numbers, real calls: the dialplan as Odoo records with a dry run and rollback, seats at the push of a button, the browser phone and, if you want it, an AI number. Result: a running system and a report with your numbers.
Step 4
Rollout and operations
Fixed-price commissioning from 2.400 €, then managed service at 399 €, 599 € or 999 € per month: monitoring, security updates, change windows for the dialplan, a contact person in Germany.

From the first enquiry to live operation, with a clear trigger, three to four months typically pass.

What the feasibility check puts on paper

No quote out of thin air: we write down what runs at your company, what PhoneDesk takes over from day one, what has to be armed separately and what is missing today. This is what the note looks like that you hold in your hand after the second meeting. It is two to three pages long and written in plain language, so you can pass it on to your management, your works council or your Odoo partner without translating it first.

  • You supply four details from the first call: PBX and version, provider and numbers, the number of phone seats, the state of your Odoo installation.
  • We sort every requirement into one of three columns: runs from day one, gets armed during commissioning, does not exist today.
  • What is left is the gap list. It is fixed before you sign, and it is read back point by point at handover.

Attended transfer, conference and the number the AI answers belong in the middle column: they exist, but they are set deliberately during commissioning and verified afterwards. So before you sign you know what will be there on the phone and what will not.

What to have ready for the first call

Four details are enough. With them we can tell you in the first meeting whether PhoneDesk fits and what it costs, instead of sending you into a second round.

PBX and provider

Which PBX runs today, who looks after it, which provider your numbers come in through, and when the contract expires. PhoneDesk works with Asterisk and FreePBX.

Number of phone seats

Not the headcount, but the people who actually make calls. Which of them should call from the browser, who stays on a desk phone. This number sets the price tier.

What happens after I submit the form?+
An engineer in Germany gets back to you within one working day and proposes a meeting of 20 to 30 minutes. In that first call we clarify the PBX, the Odoo version, the number of phone seats and the trigger. After that comes the feasibility check of your telephony environment, and only then a fixed-price quote.
How does the pilot work, and what does it cost?+
Four to six weeks, 1.990 € fixed price, fixed scope, fixed end. You get a running installation with real numbers: the dialplan as Odoo records with a dry run and automatic rollback, seats at the push of a button, the browser phone and, if you want it, a number the AI answers. The delivery includes a written report with your numbers and the gap list. The pilot fee is credited towards the licence, and a no afterwards is fine.
What does PhoneDesk cost in total?+
The licence is a one-off purchase per Odoo database, tiered by phone seats: Basic 890 €, Pro 1.990 €, Business 2.490 €, Ultimate from 4.900 €. On top of that comes commissioning from 2.400 € at a fixed price and ongoing operations at 399 €, 599 € or 999 € per month. The full breakdown with all tiers is on the pricing page.
Do I need Odoo Enterprise?+
No. PhoneDesk runs on Odoo Community and depends only on standard modules that are there anyway. If you are buying Enterprise today purely for the telephony, PhoneDesk saves you the per-user licence cost and you end up owning the PBX yourself.
Do we keep our PBX and our numbers?+
Yes. Your Asterisk PBX stays your PBX, your provider stays your provider, the numbers stay where they are. PhoneDesk puts the control layer on top: call routing as auditable Odoo records with a dry run, a write-back check and automatic rollback, plus seats at the push of a button and every browser call as an Odoo record.
Does PhoneDesk record calls?+
Not today. PhoneDesk manages recordings, it does not create them: consent with grant, refuse and withdraw, logged access, retention periods per tenant, deletion by destroying the key and an audit trail that allows no deletion even with administrator rights. If your PBX already creates the files, PhoneDesk puts this layer on top. Recording of its own is on the roadmap from Q4 2026. What PhoneDesk does write today is the transcript and the summary of every AI-led call, straight onto the customer record.
We have a works council. What does that mean for the project?+
That it should be involved early. AI monitoring of calls is switched off by default and stays off until it is armed with a documented management approval and the consent of both parties to the call. Supervisor listen-in does not exist in PhoneDesk. For the paperwork under § 87 (1) no. 6 BetrVG and § 201 StGB there is a separate compliance package.
