Welcome to the MailDesk Documentation — the official guide to setting up and using MailDesk inside Odoo.

MailDesk is a professional email client that allows you to manage Gmail, Outlook / Microsoft 365, and IMAP mailboxes directly in Odoo.

This documentation helps you get started quickly and use MailDesk efficiently in your daily work.

Connect your email account

MailDesk supports multiple email providers. Choose your setup guide:

  • Gmail (OAuth 2.0 + Gmail API)

  • Outlook / Microsoft 365 (OAuth 2.0 + Microsoft Graph)

  • IMAP (any other email provider)

Shared Mailboxes & Teamwork

MailDesk is designed for collaboration. You can share a single mailbox (e.g., [email protected]) with multiple users.

Key Concepts:

  • Owner: Every account has a mandatory Owner. This is typically the user who connected the account.
  • Is Shared: If this flag is enabled, it indicates the mailbox is intended for team use.
  • Users with Access: You can explicitly list Odoo users who are allowed to see and manage this mailbox.

Permissions & Roles

Access to MailDesk functions is controlled by two main security groups:

  • Mailbox User: Can connect personal accounts and work with shared mailboxes they are granted access to.
  • Mailbox Admin: Can manage any account, view all mailboxes, and perform maintenance tasks like Reset Sync State.

⚠️ Administrators automatically have access to all mailboxes, regardless of the Users with Access list.
